Information you provide voluntarily
You may provide other information through a form, email, telephone call, survey, competition, meeting or conversation.
We do not ordinarily seek special-category personal information for our commercial activities. Please avoid providing sensitive information unless it is relevant and necessary.
4. How we obtain personal information
We may obtain personal information:
• directly from you;
• from your employer, colleague or representative;
• when you complete a website, registration, newsletter, directory or event form;
• when you buy or enquire about a service;
• when you correspond with us;
• from publicly accessible sources, including company websites, professional profiles, press releases, public registers and industry directories;
• from professional business-information and networking services;
• from event, advertising, newsletter and technology providers;
• through cookies, tracking technologies, server logs and analytics tools;
• through our journalistic research and newsgathering; and
• from third parties who are legally permitted to provide it to us.
Where we obtain identifiable business contact information from a public or third-party source, we use it only where we have an appropriate lawful basis. We will normally provide relevant privacy information when we first contact the person, or otherwise within the period required by law.
5. How and why we use personal information
We must have a lawful basis for each use of personal information. The bases most relevant to Poultry Network are consent, contract, legal obligation and legitimate interests.
Providing accounts, subscriptions and services
We use personal information to:
• create and administer accounts;
• provide subscriber or registered-user content;
• process event, directory, advertising and sponsorship bookings;
• provide products and services;
• fulfil contracts;
• manage payments, renewals and customer support; and
• communicate about a booking, account or service.
Our lawful basis is normally that the processing is necessary to enter into or perform a contract with you or the organisation you represent.
Enquiries and business relationships
We use contact and correspondence information to:
• answer enquiries;
• provide quotations and proposals;
• arrange meetings;
• manage customer, advertiser, sponsor, supplier and contributor relationships;
• maintain appropriate records in our customer relationship management system; and
• follow up on services in which a person or organisation has expressed an interest.
Our lawful basis is contract, steps requested before entering a contract, or our legitimate interests in managing and developing our business relationships.
Newsletters and requested communications
We use contact details and communication preferences to provide newsletters, editorial alerts and other communications that a person has requested.
Where consent is required, our lawful basis is consent. Consent may be withdrawn at any time by using the unsubscribe link in an email or contacting us.
Business-to-business marketing
We may contact relevant professional and corporate business contacts about Poultry Network advertising, events, sponsorship, directory listings, jobs, content partnerships and related services.
Our lawful basis is normally our legitimate interests in promoting relevant business-to-business services and maintaining commercial relationships, where those interests are not overridden by the individual’s rights and freedoms.
We also comply with the Privacy and Electronic Communications Regulations. Consent or a valid soft opt-in is used where this is legally required, including for marketing to individual subscribers such as sole traders and some partnerships.
Editorial and journalistic work
We use personal information to:
• research, verify, produce and publish news and other editorial material;
• conduct and record interviews;
• contact sources and subjects;
• maintain an accurate editorial record;
• manage corrections, complaints and rights of reply;
• protect confidential sources;
• preserve our published archive; and
• exercise the rights of freedom of expression and information.
Our lawful basis will commonly be our legitimate interests as a specialist news and information publisher.
Where the statutory conditions are satisfied, we may rely on the journalism exemption contained in the Data Protection Act 2018. This exemption may limit the application of particular data-protection obligations or individual rights where we reasonably believe publication is in the public interest and complying with the relevant requirement would be incompatible with journalism.
We remain responsible for the security and responsible handling of information used for journalism and follow our Editorial Standards and Corrections policy.
Website operation and security
We use technical information to:
• operate and deliver the website;
• authenticate users;
• maintain website security;
• prevent fraud, spam and misuse;
• diagnose faults;
• maintain backups;
• protect our systems and users; and
• establish, exercise or defend legal rights.
Our lawful basis is our legitimate interests in maintaining a secure and reliable service, performance of a contract where an account is involved, and compliance with legal obligations where applicable.
Analytics and service improvement
Subject to applicable cookie and consent rules, we use analytics information to:
• understand website and newsletter use;
• measure readership and engagement;
• identify popular content;
• assess campaign and newsletter performance;
• improve site structure, content and services;
• understand the broad composition of our audience; and
• prepare aggregated reports.
Where non-essential cookies, tracking pixels or similar technologies are involved, our lawful basis is consent unless a statutory exception applies.
Advertising and campaign measurement
Subject to your cookie choices, we may use advertising and measurement technologies provided by services such as Google, Meta and LinkedIn to:
• measure advertising effectiveness;
• understand whether a campaign generated a visit or enquiry;
• create broad audience segments;
• limit or improve advertising delivery; and
• show relevant Poultry Network promotions on other platforms.
Our lawful basis is consent where the activity involves non-essential cookies, advertising identifiers, tracking pixels or comparable technologies.
Accounting, legal and regulatory obligations
We use personal information to:
• issue and retain invoices;
• maintain accounting and tax records;
• respond to lawful requests;
• comply with data-protection and other legal obligations;
• investigate complaints;
• prevent and investigate fraud; and
• establish, exercise or defend legal claims.
Our lawful basis is compliance with a legal obligation or our legitimate interests in protecting our business and legal rights.
6. Our legitimate interests
Where we rely on legitimate interests, those interests may include:
• operating a sustainable specialist publishing business;
• providing relevant information to the UK poultry sector;
• maintaining relationships with readers, customers, contributors and industry contacts;
• promoting relevant business services to professional and corporate contacts;
• understanding and improving our journalism, products and services;
• measuring the effectiveness of content and commercial campaigns;
• maintaining accurate business and editorial records;
• protecting our website, systems and users;
• preventing fraud and misuse; and
• protecting or enforcing our legal rights.
We consider whether the processing is necessary and balance our interests against the possible effects on individuals. You have the right to object to processing based on legitimate interests.
7. Information made public
Certain services necessarily involve publishing information.
This may include:
• names, roles, quotations, photographs and recordings contained in editorial material;
• author and contributor biographies;
• speaker, sponsor and exhibitor information;
• company and business-contact information supplied for the Poultry Network Supplier Directory;
• advertisements and sponsored profiles;
• job advertisements;
• press releases; and
• comments or material submitted for publication.
Information published online may be indexed by search engines, shared by other people and remain available in archives after its original publication.
Before providing personal contact information for publication, you must ensure that you are entitled to provide it and that the person concerned understands how it will be used.
8. Newsletters, email tracking and direct marketing
Our newsletters are currently managed using Beehiiv.
When you subscribe, Beehiiv may process your email address, subscription status, preferences and information about newsletter delivery and engagement on our behalf.
Our newsletters may use tagged links or tracking pixels to measure whether an email has been delivered, opened or selected. This may provide information such as the time of an interaction, device type and approximate location.
We use this information to understand newsletter performance, improve our editorial service and provide relevant aggregated campaign reporting. Tracking pixels and comparable technologies are used subject to applicable consent and electronic-communications requirements.
Every marketing newsletter contains an unsubscribe facility. You may also ask us to stop marketing by contacting editor@poultry.network.
Unsubscribing from marketing does not prevent us from sending necessary service messages about an account, transaction, booking or contract.
We maintain a limited suppression record after an unsubscribe or objection so that the person is not inadvertently added back to a marketing list.
9. Cookies and similar technologies
Cookies are small files placed on a device. Similar technologies include scripts, tags, local storage, tracking pixels, software development kits and other identifiers.
We may use the following categories of technology:
Strictly necessary technologies
These support functions such as:
• website security;
• user authentication;
• load balancing;
• fraud prevention;
• remembering privacy choices; and
• providing a service specifically requested by the user.
These technologies do not normally require consent where the legal conditions for the strictly necessary exception are met.
Analytics technologies
These help us understand how visitors use the site and how well content and campaigns perform. They may include services such as Google Analytics and website performance or security analytics.
Advertising and measurement technologies
These may include Google, Meta Pixel, LinkedIn Insight Tag and similar services used for advertising attribution, audience measurement or retargeting.
CRM and campaign technologies
These may include Nutshell and related tools used to understand interactions with enquiries and commercial communications.
Embedded-content technologies
Content supplied by services such as YouTube, Captivate, Beehiiv and social-media platforms may set or access cookies when it is displayed or activated.
Where required by law, we do not activate non-essential analytics, advertising or tracking technologies until you have made a choice through our cookie controls.
You can accept, reject or manage non-essential technologies through the cookie banner or cookie-settings facility provided on the website. Withdrawing consent does not affect the lawfulness of processing that took place before withdrawal.
Rejecting non-essential technologies should not prevent access to basic website content, although some embedded or personalised features may not operate.
10. Who we share personal information with
We may share personal information with carefully selected service providers where this is necessary to operate Poultry Network.
These may include:
• SiteGround and other website-hosting, security, backup, caching and content-delivery providers;
• Beehiiv for newsletter subscriptions, forms and email delivery;
• Nutshell for customer relationship management and commercial communications;
• Stripe and other payment, fraud-prevention and financial-service providers;
• Google for analytics, website services, advertising measurement and embedded YouTube content;
• Meta and LinkedIn for advertising and campaign measurement, subject to consent;
• Captivate and other podcast, video or audio hosting and production providers;
• email, cloud-storage and business-software providers;
• printers, mailing houses and fulfilment suppliers;
• event venues, registration providers and contractors;
• professional advisers, including accountants, insurers and legal advisers;
• contractors and freelancers working under appropriate confidentiality obligations; and
• public authorities, regulators, courts or law-enforcement bodies where disclosure is required or permitted by law.
Some providers act solely on our instructions. Others, including certain payment, social-media and advertising platforms, may process information for their own purposes under their own privacy terms.
We may disclose information as part of a sale, merger, restructuring or transfer of all or part of our business, subject to appropriate confidentiality and data-protection arrangements.
We do not sell or rent personal information.
We do not provide an identifiable newsletter subscriber or event-attendee list to advertisers or sponsors unless we have made this clear in advance and have an appropriate lawful basis. Campaign reporting supplied to advertisers is normally aggregated or anonymised.
11. International transfers
Some of our service providers are based outside the United Kingdom or use systems located in other countries, including the United States.
Where personal information is transferred outside the UK, we take steps to ensure that the transfer is lawful. Depending on the destination and provider, these steps may include:
• UK adequacy regulations;
• the UK Extension to the EU-US Data Privacy Framework, where applicable;
• the UK International Data Transfer Agreement;
• the UK Addendum to approved standard contractual clauses;
• contractual, technical and organisational safeguards; and
• a transfer-risk assessment where required.
Further information about the safeguards used for a particular service may be requested using the contact details in this policy.
12. How long we keep personal information
We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, including legal, accounting, security and reporting requirements.
Our usual retention periods or criteria are:
Newsletter subscribers
We retain subscription information while a person remains subscribed. Inactive records are reviewed periodically and deleted or anonymised when no longer required.
We retain limited suppression information for as long as reasonably necessary to honour an unsubscribe, objection or withdrawal of consent.
Customer, contract, transaction and invoice records
These are normally retained for six years after the end of the relevant relationship, transaction or financial period, where required for accounting, tax, contractual or legal purposes.
Accounts and registrations
Account information is retained while an account is active and normally for up to two years after closure, unless a longer period is required for security, contractual or legal reasons.
Enquiries and general correspondence
These are normally retained for up to two years after the last meaningful communication, unless they become part of a continuing customer, editorial or legal record.
Business and prospective-customer contacts
Business contacts held in our CRM are reviewed periodically and will normally be deleted, refreshed or restricted where there has been no meaningful interaction or reasonable continuing business purpose for three years.
Event information
General attendee and booking records are normally retained for up to two years after an event. Financial and contractual records may be retained for six years.
Website and security logs
Technical logs are normally retained for up to 12 months, although security records may be retained longer where necessary to investigate an incident.
Analytics information
Identifiable or pseudonymous user-level analytics information is retained according to the settings of the relevant service and is normally retained for no longer than 14 months. Aggregated statistical information that no longer identifies an individual may be retained for longer.
Editorial information
Published articles, photographs, podcasts, videos and related archive material may be retained indefinitely as part of our journalistic record.
Unpublished editorial notes, recordings, correspondence and source material are retained for as long as reasonably necessary for verification, follow-up reporting, complaints, legal protection, preservation of the archive and protection of confidential sources.
Rights requests and data-protection complaints
Records of a request or complaint and our response may normally be retained for up to six years after the matter is closed.
We may retain information for longer where required by law, necessary for legal proceedings, subject to a preservation request, or reasonably required to protect a person, confidential source or legal right.
13. Data security
We use appropriate technical and organisational measures designed to protect personal information against unauthorised access, accidental loss, alteration, disclosure or destruction.
These measures may include:
• access controls;
• password and account-security measures;
• secure hosting;
• system and software updates;
• backups;
• encryption where appropriate;
• confidentiality requirements;
• supplier due diligence; and
• procedures for responding to security incidents.
No internet or storage system can be guaranteed to be completely secure. Where a personal-data breach creates a legal obligation to notify the Information Commissioner’s Office or affected individuals, we will make the required notification.
14. Your data-protection rights
Depending on the circumstances, you may have the right to:
• be informed about our use of your personal information;
• request access to the personal information we hold about you;
• request correction of inaccurate or incomplete information;
• request deletion of personal information;
• request restriction of processing;
• object to processing based on legitimate interests;
• object to direct marketing;
• request transfer of information you provided to us in a portable format;
• withdraw consent at any time where processing is based on consent; and
• challenge certain decisions made solely by automated means.
These rights are not absolute and exemptions may apply.
In particular, some rights may be limited where personal information is processed for journalism and the statutory journalism exemption applies.
To exercise a right, email editor@poultry.network or write to our registered office. Please describe the information or processing concerned. We may ask for reasonable evidence of identity or authority before acting on a request.
We normally respond to a valid rights request within one month. The law permits additional time in certain complex circumstances, and we will explain any extension.
Withdrawal of consent does not affect processing that was lawful before consent was withdrawn.
15. Your absolute right to object to direct marketing
You have the right to object at any time to the use of your personal information for direct marketing.
When you object, we will stop using your information for that purpose. We may retain limited information on a suppression list to ensure that your objection continues to be respected.
You can object by:
• selecting the unsubscribe link in a marketing email;
• replying to the message;
• emailing editor@poultry.network; or
• writing to our registered office.
16. Automated decision-making and profiling
We may segment newsletter subscribers, website users and business contacts according to broad factors such as sector, role, location, stated interests or engagement.
This helps us select relevant content, assess campaign performance and manage commercial relationships.
We do not currently make decisions about individuals based solely on automated processing that produce legal or similarly significant effects.
17. Data-protection complaints
You may complain to us if you believe that we have handled your personal information incorrectly.
A complaint can be submitted:
• by email to editor@poultry.network;
• through our website contact form;
• by telephone on +44 (0) 7590 987 879; or
• by post to Dee Media Group Limited, 34 Churton Road, Chester, CH3 5EB.
Please provide:
• your name and contact details;
• a description of the processing or incident concerned;
• why you believe it is incorrect;
• what outcome you are seeking; and
• copies of relevant correspondence or evidence where appropriate.
We will:
• provide a clear route for making a complaint;
• acknowledge receipt within 30 days;
• take appropriate steps to investigate;
• keep you appropriately informed; and
• communicate the outcome without undue delay.
A data-protection complaint and an individual-rights request are separate processes, even where they relate to the same matter.
You also have the right to complain to the UK supervisory authority:
Information Commissioner’s Office
Wycliffe House
Water Lane
Wilmslow
Cheshire
SK9 5AF
Telephone: 0303 123 1113
Website: ico.org.uk
We would appreciate the opportunity to address the issue directly before you approach the Information Commissioner’s Office.
18. Children
Poultry Network is a business and professional publication and is not directed at children.
We do not knowingly collect personal information from children for marketing or account purposes. A parent or guardian who believes that a child has provided information to us should contact editor@poultry.network.
Editorial reporting may occasionally include information about a child where this is lawful, proportionate and editorially justified. Additional care is applied to the privacy and welfare of children.
19. Third-party websites and embedded services
Our website may contain links to, or content embedded from, third-party websites and platforms.
These organisations may collect information independently when you visit their website, activate an embed, play a video, follow a social-media link or use their service.
Their processing is governed by their own privacy information. We are not responsible for the privacy practices of an external website that we do not control.
20. Changes to this policy
We may update this privacy policy to reflect:
• changes in the law;
• changes to our services;
• new technology or suppliers;
• changes to our data-handling practices; or
• guidance issued by regulators.
The current version will be published on poultry.network with its last-updated date.
Where a change materially affects how we use personal information, we will take reasonable steps to bring it to the attention of affected individuals.
